Can AI build a receipt organizer app like Shoeboxed?

Build a personal receipt organizer web app to replace Shoeboxed for my own use. I'll type in receipt details myself instead of using OCR.

Tech rules:
- Plain HTML, CSS, and vanilla JavaScript in one file, plus IndexedDB for storing receipt images since they're larger files. No framework, build step, account, or server.
- Store metadata in localStorage and images in IndexedDB, both under versioned keys.

Data model:
- Receipt: id, imageBlobId (IndexedDB reference), vendor, date, amountCents, category (business, personal), expenseType, taxDeductible (boolean), note, uploadedAt, fileHash (for duplicate detection).
- Category: id, name.

Features:
- Upload a receipt photo from camera or file picker. Show a form next to the image to enter vendor, date, amount, and category.
- Compute a simple hash of the uploaded file (size plus a content checksum) and flag it if a receipt with the same hash already exists, so I can review before saving a duplicate.
- Tag each receipt business or personal, and pick an expense category from a list I can edit.
- Search and filter receipts by date range, vendor, category, or tax-deductible status.
- A running total of tax-deductible business expenses for the current tax year, updating as receipts are added.
- Mileage entry: a separate simple log of date, purpose, and miles, viewable alongside receipts from the same trip.

Edge cases the build must handle correctly:
1. If OCR isn't wired up, make manual entry fast: after uploading, the cursor lands in the amount field, and Enter moves to the next field.
2. A crumpled or angled receipt photo still uploads and displays; the app never rejects an image for being hard to read, since a human will type the data anyway.
3. Multi-page or long fold-out receipts can be uploaded as multiple images attached to one receipt entry.
4. Foreign currency receipts store the amount as typed with a currency code field, without forcing conversion to USD.
5. A receipt can be tagged both business and a specific expense type (like mileage-adjacent gas or parking) without needing a separate mileage-only record.
6. Duplicate detection by file hash only flags for review, it never auto-deletes, since two similar receipts from the same vendor on the same day can be legitimate.
7. Handwritten receipts and non-standard documents (like parking stubs) upload and store the same as printed ones, with no format requirement.

Backup:
- One-click "Export JSON" (all metadata), "Export CSV" (vendor, date, amount, category, tax-deductible), and "Export images as ZIP" (all receipt photos).
- "Import JSON" restores metadata after confirmation; images must be re-uploaded separately.

Layout:
- Mobile-first, readable at 375px wide, with a large camera-upload button as the primary action.

Exclusions:
- No publishing, App Store submission, accounts, payments, mail-in scanning, or QuickBooks/Xero sync.

Write a short README explaining where data and images live, how to export and restore them, and that this build has no automatic OCR unless I add a paid API key myself.

Keep it under 700 lines. This is a personal tool, not a product.

What is the short answer?

Yes, but. AI can build a receipt storage app that replaces Shoeboxed’s Starter plan at $9 a month or $97 a year in 2–3 hours for a basic version.

The “but” is OCR. Shoeboxed’s real product is reading merchant, date, and amount off a photographed receipt automatically. A personal web app without a paid OCR API can only store the photo and make you type the data in by hand. That’s a real trade-off if you handle more than a handful of receipts a month. Build it if you’re willing to type in the details, or if you’re comfortable wiring up an OCR API yourself.

What should the first version include?

The first version needs to make manual entry fast, since that replaces the OCR step Shoeboxed charges for.

• Photo upload with a fast manual-entry form right next to the image
• Business/personal tagging and expense categories
• Duplicate-upload flagging for manual review
• Search and filter by date, vendor, and category
• A running tax-deductible total for the year

What can AI build reliably?

ChatGPT and Claude reliably build the storage, tagging, and search layer. Photo upload with metadata is a common pattern.

Concrete things AI gets right:

• A photo upload form paired with quick manual-entry fields
• File-hash duplicate detection that flags, rather than silently blocking, repeat uploads
• Search and filter across vendor, date, category, and tax-deductible status
• A running total of tax-deductible expenses that updates as you add receipts
• Attaching multiple images to one receipt entry for fold-out or multi-page receipts

Where will AI need human help?

OCR misreading faded or crumpled thermal receipts, receipts photographed at an angle or with glare, and foreign currency formats are all genuine OCR engineering problems. AI can write the upload form easily, but reliably extracting merchant, date, and amount from a real-world receipt photo needs a real OCR API like Google Cloud Vision or AWS Textract, not a simple image upload. Decide upfront whether that’s worth paying for separately, since it’s not something the starter prompt includes by default.

Duplicate detection needs your judgment, not just the app’s. A file-hash match catches exact re-uploads, but two similar receipts from the same vendor on the same day (like two coffee purchases) can be legitimate. Have the app flag possible duplicates for your review rather than auto-deleting them.

The decision only you can make: if you rely on Shoeboxed’s Magic Envelope mail-in scanning service, where you mail in paper receipts and humans scan and verify them, no personal app replicates that. That’s a service, not a feature you can code.

Privacy matters here since receipts can contain account numbers or personal spending details. Keep the data local with no account, and if you use a cloud OCR API, check what that provider retains from uploaded images.

Can I get my data out of Shoeboxed?

Yes, on any paid plan. From the Receipts table, select receipts (or select all that match a filter) and export to CSV, PDF, or sync to QuickBooks Online or Xero. CSV gives you extracted metadata (date, vendor, amount, category); PDF bundles the actual receipt images.

The trap: CSV export contains only extracted metadata, not the receipt image itself. Getting the actual scanned images out requires the separate PDF export, which per third-party reviews is capped at under 450 receipts per file [VERIFY, since Shoeboxed’s own how-to page for this returned an error during research], so exporting years of paper backup means running multiple batched exports.

Pro and Plus plans advertise “unlimited storage,” but it only persists while your subscription stays active. If you’re canceling to save money, finish exporting everything, both the CSV and the batched PDFs, before you cancel, or you lose access to the images.

How long will it take and what will it cost?

Rough prototype: 2–3 hours and $0. Photo upload, manual entry, and basic search.

Dependable daily-use version: 8–10 hours, including duplicate flagging, tax-deductible totals, and mileage-adjacent entries. Add more time if you wire up a paid OCR API.

Shoeboxed Starter costs $9 a month. A $20 month of a paid AI plan equals about 2.2 months of Starter. If you add an OCR API, factor in its per-image cost on top, which can erode the savings depending on your receipt volume.

These are estimates from reviewing the feature set, not measurements from a completed build.

Which AI tool or approach should I use?

Claude or ChatGPT on a free plan handles the storage, tagging, and search layer well.

Cursor is worth it if you’re wiring up a real OCR API, since that involves API key handling and testing against multiple receipt photos, which benefits from iterating in a code editor.

Lovable could add a hosted database if you want receipts synced across your phone and laptop, but that’s added maintenance to replace a $9-a-month plan that already syncs.

What will I need to maintain?

Modest, mostly around image storage.

Recurring work:

• Export receipt images periodically, since browser storage (IndexedDB) can be cleared by the browser or an accidental cache clear
• Re-enter data by hand for every receipt, unless you’ve added OCR
• Rotate or renew an OCR API key if you added one

Should I build it, buy it, or reduce scope?

Build it if your receipt volume is low enough that manual entry is tolerable, or if you’re willing to add a paid OCR API yourself.

Buy it if you photograph many receipts a month and want them read automatically, or if you use the Magic Envelope mail-in service, which a personal build can’t replicate. Also buy it if you need the QuickBooks or Xero sync for real accounting software.

Reduce scope if you only need a handful of receipts for a once-a-year tax filing. A folder of photos in your phone’s camera roll, sorted by date, may be enough without building or subscribing to anything.

Recommendation: build your own if your monthly receipt count is small enough that typing in vendor, date, and amount isn’t a burden. Shipping a receipt organizer to other people means paying for OCR at scale, handling sensitive financial images securely, meeting audit-ready storage standards, and competing with an established player that already has a mail-in scanning service. That’s a different scale of project than a personal manual-entry tool.
